NYC Office Manager

In-office (4-5 days/week) 

Full-Time Role

Based in New York City

 

 

OVERVIEW OF ROLE

The Office Manager is a critical member of a dynamic global team. The ideal candidate will have a proven track record of success in solving problems in a fast-paced environment. Responsibilities include identifying office needs, managing vendor relationships, inventory, and helping build a welcoming office culture. The majority of time will be spent in Razom’s main Flatiron/Chelsea office with occasional visits to Razom’s smaller East Village location. 

 

We are looking for a detail-oriented person, a quick learner who brings creativity and energy to help solve problems, collaborate on projects, and propose new solutions. A deep passion for the organization’s mission is a must!

 

REPORTS TO

CFO, Razom for Ukraine

 

RESPONSIBILITIES

●  Oversee and support all administrative duties in the office to ensure the office in NYC operates smoothly.

●  Maintain office calendar, schedule staff meetings, and coordinate miscellaneous office events.

●  Assist with internal and external events hosted by Razom, including coordinating with the implementing team and assisting with logistics and tasks. 

●  Purchase office supplies as needed; oversee office equipment and repairs as necessary.

●  Serve as a liaison with building management, vendors, and contractors. 

●  Ensure office space is organized and neat.

●  Assist with office layout planning and office moves:

     – Lead a project to understand the needs and preferences of the team; share feedback and recommendations; help shape priorities

     – Serve as the key point of contact for Razom for office moves, construction, and redesign of office space in New York City.

Assist with administrative tasks such as insurance renewals, state registrations, and other administrative tasks supporting Razom 

●  Assist with organizing physical and digital files based on communicated standards

●  Perform receptionist duties during agreed-upon hours. Greet visitors, and answer direct phone calls.

●  Receive and sort mail/deliveries.

●  Assist in developing office policies and ensure office policies and procedures are understood and are implemented appropriately.

●  Manage relationships with outside vendors (including price negotiations)

●  Occasional office maintenance of Razom’s smaller office space in East Village (Razom’s main office is in Flatiron/Chelsea neighborhood) 

 

QUALIFICATIONs & EXPERIENCE

●  At least three to five (3-5) years of work experience, preferably with three (3) years of experience in office management

●  Strong organizational skills that reflect the ability to perform and prioritize multiple tasks and be adaptable to competing demands.

●  Excellent attention to detail.

●  Strong interpersonal skills and the ability to build relationships with office visitors (employees, guests, Board members, and donors). 

●  Demonstrated proactive approach to problem-solving with strong decision-making capability.

●  A forward-looking thinker who actively seeks opportunities and proposes solutions.

●  Highly resourceful, with the ability to work independently and effectively. 

●  Proven ability to handle confidential information with discretion.

●  Experience with Google Suite, Slack, Dropbox, Microsoft Word, Excel, and Outlook.

SALARY RANGE

$50,000-$72,000

 

Final salary based on experience and qualifications as well as finalized scope of work.
